Understanding Your Registration, Payment Options, and Event Commitments
Attending Solstice is a meaningful commitment, and we want every participant to feel informed and supported from the moment they register. Because planning for this gathering requires significant preparation—from meals and staffing to transportation and logistics—our Sales and Refund Policy ensures clarity for both participants and the 3HO team. Most importantly, these guidelines help us create a balanced and sustainable event experience for everyone.

Refunds Requested Before
You may cancel your booking up to 15 days before the event starts and receive a partial refund. Refund or transfer requests must be submitted in writing to [email protected] and a cancellation fee of $150.00 will apply to each ticket cancellation. No refunds or transfers will be considered after the above date. Transaction and booking fees are not refunded.
All refund requests will be subject to a cancellation fee of $150.00 per ticket. * Day Passes are subject to a 30% cancellation fee.
To process a refund or transfer, please send a written request to [email protected]. This policy also applies to individuals participating in Service Exchange.
Transfers From the 15th day before the event to the First Day of Solstice Event
From the 15th day before Solstice event no refunds will apply. However, you still have the option to transfer your full payment to another attendee for the same event.
Transfer requests must be submitted in writing to [email protected]. Because event resources are finalized at this stage, only ticket transfers to the same event—no refunds—can be accommodated.
Refund & Transfer Policy Once Solstice Event Begins
Once Solstice Event begins, and throughout its duration, no refunds or transfers will be processed. This final window ensures that our team can focus fully on delivering a safe, supportive, and uplifting event for everyone present.
By completing your registration for Solstice, you agree to all terms described in this policy.
Service Exchange: No-Shows and Late Arrivals
Service Exchange is a valuable part of the Solstice community, and participants help sustain the event through dedicated service. Therefore, clear expectations support fairness for both the attendee and the team.
- No-shows:
If a Service Exchange participant pays the fee but does not arrive to serve, their credit card will be charged the difference between the Service Exchange rate and the full adult event fee - Late arrivals:
Any Service Exchange participant who arrives later than the date required by their team’s area manager will be charged an additional amount per day until they check in.
Every Service Exchange participant agrees to fulfill the responsibilities of their chosen role in exchange for attending Solstice at a reduced rate.
3HO Shuttle Service Policy
All shuttle service purchases are final and non-refundable.
Because transportation requires advance planning—including securing vehicles, booking professional drivers, and preparing schedules—costs are incurred regardless of usage. Therefore, refunds cannot be issued for unused shuttle tickets.
